Can You Add WhatsApp Groups to a Broadcast List?

· 8 min read

No. A WhatsApp broadcast list selects individual contacts, not existing group chats. Its messages arrive in private conversations, and replies come back privately to the sender. If you cannot find your customer groups in the broadcast recipient picker, you are choosing the wrong type of destination—not missing a setting.

If your announcement needs to appear inside several existing groups, you need a WhatsApp group broadcast workflow instead. Here, that means posting a prepared message into selected group chats. It does not mean creating a native broadcast list or sending private messages to every group member.

Choose where the conversation should happen

Before choosing a tool, decide where people should read the update and respond. Reaching the same people in a private chat and in a customer group creates two different conversations.

MethodWhere the update appearsWhere responses belongBest fit
Broadcast listEach selected contact's private chatPrivate conversation with the senderIndividual contact updates
Community announcementThe community's announcement spaceThat space's supported replies, rather than a copy in each subgroupAn update for an existing community
Posting to multiple groupsEach selected group's chatThe respective group, subject to its posting permissionsSeparate groups that need the same update

A community announcement can fit when the intended audience already belongs to one community you manage. It is not the same as inserting a separate message into every customer group's conversation. If several independent groups need their own copy, choose a workflow that targets those groups directly.

Example: a new catalog for overseas distributors

You export home-storage products and already have separate WhatsApp groups with two distributors: Northstar and Harbor. Each group includes your salesperson and that customer's purchasing team. Both have asked to receive product updates. A revised autumn catalog is ready, and each team needs the same PDF and product overview image in its existing conversation.

A private broadcast would send the update to individual contacts and split the follow-up across personal chats. A community announcement would require a shared space that these independent customers may not use. A WhatsApp group broadcast suits this case: each purchasing team gets the common catalog in its own group, and its questions stay there.

Use a common product update, rather than a customer-specific quotation:

Hello! Our updated autumn catalog is attached. Please confirm the item codes, quantities and destination port for your next order. We will confirm your quotation and lead time separately.

Keep negotiated prices, credit terms, invoices, order details and customer contact lists out of the shared attachment set. If the catalog contains different prices or availability by market, split the recipients into appropriate tasks and check each version. This workflow serves existing customer groups where updates are welcome; it does not require finding unrelated groups or collecting members' numbers.

How to send a catalog update with WAGroup

Work through the draft, recipients and results in that order.

1. Connect the right sales account

Open WhatsApp Web in Chrome and sign in to the account that belongs to the customer groups. Open WAGroup from the extension icon and wait for the connection to be ready. If a group is missing later, first check that you are using the expected account rather than a different personal or sales account.

Before composing, decide which customers should receive this catalog, which language they use, and whether they share the same product range. Make separate tasks when the message or attachment needs to differ.

2. Prepare the message, then attach the correct files

Paste the short notice above into the message editor. Name the catalog clearly and tell the buyer what information to send back: item codes, quantities and destination port. Avoid promising one lead time or price that has not been confirmed for every recipient.

You can choose a saved text template or save reusable wording as a template. Review the text for the current campaign; templates save text, so add and verify the current attachments separately. Select the catalog PDF and the product overview image using the file attachment control, then check the file names and versions.

WAGroup allows up to five attachments. Each image, video or audio file can be up to 16 MiB; each document can be up to 100 MiB. A smaller, clearly named catalog is easier for a buyer to identify. The number and nickname variables refer to your sending account, not the buyer, so do not use them as customer-name personalization. Leave mention everyone off for a routine catalog update unless the group has agreed that such notices warrant it.

3. Search and check the customer groups

In the group selector, search for the first customer, tick the intended group, then repeat for the next customer. Review the selected count and names. “Select results” selects the current search results: inspect the list before using it, especially if a customer has separate sample, order and after-sales groups.

In this example, select Northstar and Harbor; leave the internal sales group unselected. Do not include an unrelated customer simply because its name matches a search. Use refresh if the list is stale, and check in WhatsApp that your account can post in each target. Unavailable groups cannot be treated as normal sending targets.

4. Test the complete update before the customer task

Send the draft and both attachments to an appropriate internal test group first. Open that chat and inspect the actual PDF, image and message: is the catalog current, is the image readable, and does the wording match the files? Then prepare the customer task and check its selection again. The internal test group should not remain selected.

If you use a real customer group for the test, remove that group from the remaining task to avoid a duplicate. Send only the content that belongs in every selected customer's conversation.

5. Set the interval and start the task

The default interval is 10–15 seconds between messages. Keep or adjust the range for the task, then review the draft, attachments and selected groups before choosing “Start sending.” The interval separates messages; it does not schedule a later launch. A 3–5 minute break follows every 80 groups processed.

Keep the WhatsApp Web tab open and connected until the task finishes. You can close the extension popup, but do not close the underlying WhatsApp session. The interval is not a promise of delivery or protection against account restrictions.

6. Check each customer's result and export the record

Open the results view and compare the total groups with the sent, pending and failed counts. Expand individual records when you need more detail. In the example below, one of two groups is marked sent and one failed: the update needs review, not a second send to both groups.

If you need to change something during sending, use pause or stop and inspect the records before continuing. Check the affected chat before retrying a failure, especially when the text may have arrived but an attachment did not. A result marked sent is not proof that the buyer has read the catalog or accepted an order.

Export the latest task to Excel when your sales team needs a record. The most recent report is kept locally, so export it before starting another task. Handle quotation requests separately in the relevant customer conversation; replies are not merged across the groups.

What to do after an interrupted send

Avoid restarting the entire selection immediately. Some groups may already have received the notice, even if the connection later stopped.

  • Pause or stop when something needs correcting. Review the draft and results before continuing; stopping a task does not retract messages already sent.
  • Inspect failed items. Restore the connection or resolve the group's posting restriction before retrying the failed portion. If attachments were involved, inspect which parts reached the chat before sending again.
  • Check uncertain results in WhatsApp. Open the affected group and look for the message and attachments. A missing confirmation is not proof that nothing was sent. Resolve the uncertainty before deciding to resend.
  • Keep a record. The latest report is stored locally. Export it before a new task if you need to retain the previous results.

Frequently asked questions

Must group members save my number?

Saving the sender's number is a delivery condition associated with traditional contact broadcast lists. It is not a requirement for seeing a message posted in a group they already belong to. Your account still needs permission to send to that group.

Where do replies go?

With a broadcast list, replies are private messages to the sender. When you post in several groups, a reply posted in one group stays in that group's conversation; it is not copied into the other groups.

Can I include a PDF or an image?

Yes. WAGroup supports up to five attachments: images, videos and audio up to 16 MiB each, and documents up to 100 MiB each. Check the chosen files in a test group before sending them more widely.

Choose the destination before the sending method

Use a contact broadcast when you want individual conversations, a community announcement when that shared space fits, and group posting when the update belongs in separate existing chats. For the last case, explore WhatsApp group broadcast on the WAGroup homepage, then test one relevant group before sending the remaining updates.
